Terms of Service
The agreement between you and Armada.
Last updated: October 20, 2026
These Terms of Service ("Terms") are an agreement between you and [Company legal name] ("Armada", "we", "us" or "our") and govern your use of Armada, including our website, the Armada web app, the Armada Desk app and the Armada mobile app (together, the "Service").
By creating an account, clicking to accept or using the Service, you agree to these Terms. If you use the Service for a company or other organization, you agree on its behalf and confirm you have authority to do so; "you" then means that organization. You must be at least 18. If you do not agree, do not use the Service.
1. The Service
Armada lets you hire AI employees ("Employees") that carry out work for you: in the third-party services you connect, on websites, and in desktop apps on computers you connect through Armada Desk. You decide what each Employee may use and do; changes can be held for your approval, and payments always are.
We may change, add or remove features. Features marked as preview or beta are provided as they are and may change or end. If we remove a material feature you pay for, we will tell you in advance.
2. Accounts and workspaces
- Give accurate information and keep it current.
- Keep your sign-in details secure, and turn on two-factor sign-in where it matters to you. You are responsible for activity under your account; tell us at once at [Legal email] if you suspect unauthorized access.
- If you invite people to your workspace, you are responsible for their use of it and for the roles and permissions you give them.
3. Your Employees and your instructions
- You are in charge. Employees act on your instructions and within the permissions, approval rules, allowances and trust levels you set. You are responsible for those settings and for the instructions you give.
- Approvals. When an Employee asks for approval, your approval authorizes that action as described in the request, and nothing else. Read requests before approving them.
- Actions in the world. Employees can send messages, change records, make purchases and payments you approve, and otherwise act on your behalf. Those actions are yours, as if you or your staff had taken them. Do not give an Employee access you would not give a new member of staff in the same role.
- Identity. Employees work under their own names and addresses. Do not configure an Employee to impersonate a real person without that person's consent, or to hide that it is an AI where the law requires disclosure.
- Review. Check important work, especially where mistakes would be costly, irreversible or regulated.
4. Connected services, computers and saved access
- Connected services. When you connect a third-party service, you authorize us to access it for your Employees as you configure. You confirm you are entitled to grant that access. Your use of those services remains subject to their terms, and we are not responsible for their availability or actions.
- Computers (Armada Desk). When you connect a computer, you authorize Employees to use the apps you allow on it, including seeing and capturing its screen and controlling the mouse and keyboard while they work. You confirm you are entitled to allow this on that computer and that people who use it are informed. Anyone at the computer can pause an Employee by touching the mouse or keyboard.
- Saved access. If you save logins, payment cards or other details for an Employee, you authorize their use for the tasks and under the policy you set. You confirm you are entitled to let the Employee use them.
5. Acceptable use
You may not use the Service, or let an Employee be used:
- to break the law or infringe anyone's rights, including privacy and intellectual property rights;
- to send spam, run fraud, phishing or scams, or harass, threaten or deceive people;
- to access accounts, systems or data you are not authorized to access, or to break the terms of a connected service in ways that harm others;
- to make decisions with legal or similarly significant effects on people (such as credit, employment, housing, insurance or medical decisions) without meaningful human review;
- to develop weapons, malware or other means of serious harm;
- to probe, overload or attack the Service, get around its limits or approvals, or reverse engineer it except where the law allows;
- to resell the Service or build a competing product from it without our written agreement.
We may suspend an Employee or your account to stop a breach or protect people, and will tell you why where we can.
6. AI output
Employees use AI models, which can make mistakes, misread a screen or a request, or produce content that is inaccurate or that others own. Armada checks results where it can (for example, reading an app's own records after a change), but it cannot guarantee them. You are responsible for how you use what Employees produce.
7. Fees, treasury and allowances
- Treasury. The Service is paid from your workspace's treasury, a prepaid balance you top up. The first top-up that activates a workspace has a minimum, shown in the app.
- Metering. Each action an Employee takes is charged at the prices shown in the app when it runs. Each Employee spends within the monthly allowance you set, and work stops when the treasury or an allowance runs out.
- Payments. Card payments are processed by [Payment processor] under its own terms.
- Refunds. Treasury balances are not refundable except where the law requires, or when we end the Service for reasons other than your breach, in which case we refund the unused balance.
- Taxes. Prices do not include taxes unless stated; you pay applicable taxes.
- Price changes. We will give at least 30 days' notice of price increases. They apply to actions run after that date.
8. Your content
- You own your content: what you put into the Service, what your Employees read from your connected services and computers, and what they produce for you ("Your Content").
- Our permission to use it is limited to providing, securing and supporting the Service for you, as described in our Privacy Policy and Data Processing Addendum.
- No training on your content. We do not use Your Content to train AI models, and our AI providers may not use it to train theirs.
- Notes Employees keep from their work stay in your workspace and are shared beyond it only if you turn on a sharing setting.
- Usage statistics. We may use aggregated, de-identified information about how the Service is used to operate and improve it; it does not identify you or Your Content.
9. Our property and feedback
The Service, including its software, design and documentation, belongs to us and our licensors. Subject to these Terms, we give you a limited, non-exclusive, non-transferable right to use it for your own purposes while your account is active. If you send us feedback, we may use it without obligation to you.
10. Privacy and data processing
Our Privacy Policy explains how we handle personal information. If you use the Service for an organization and we process personal data on its behalf, our Data Processing Addendum forms part of these Terms and applies to that processing.
11. Suspension and termination
- You may stop using the Service and close your account at any time.
- We may suspend or end your access if you materially breach these Terms and do not fix the breach within 15 days of our notice, immediately for serious breaches of Section 5 or where needed to protect people or the Service, or with 30 days' notice for any other reason.
- When your account closes, you can ask for an export of Your Content within 30 days; after that we delete it as described in our Privacy Policy. Sections 6 to 9 and 12 to 16 survive.
12. Disclaimers
Except as these Terms expressly state, the Service is provided "as is" and "as available". To the fullest extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, title and non-infringement, and we do not promise that the Service will be uninterrupted or error-free or that Employees' work will be correct. Some jurisdictions do not allow these exclusions; there, they apply only as far as the law allows.
13. Limitation of liability
To the fullest extent the law allows: (a) neither party is liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or data, even if told they were possible; and (b) each party's total liability arising out of or relating to these Terms is limited to the greater of the amounts you paid us in the 12 months before the event giving rise to the claim and USD 100. These limits do not apply to your payment obligations, to a party's fraud, gross negligence or willful misconduct, or where the law does not allow them.
14. Indemnity
If you use the Service for an organization, you will defend and indemnify us against third-party claims arising from Your Content, your instructions to Employees, or your breach of these Terms or the law, and pay the resulting damages and reasonable costs. We will tell you promptly of any such claim and let you control its defense.
15. Governing law and disputes
These Terms are governed by [Governing law], without regard to its conflict-of-law rules. Before starting proceedings, each party will first try to resolve the dispute informally by writing to the other (to us at [Legal email]) and allowing 30 days. Disputes that remain will be resolved by [Competent courts]. Either party may seek urgent injunctive relief in any competent court. If you are a consumer, nothing in these Terms removes the protection of the mandatory law of the country where you live or your right to bring proceedings there.
16. General
- Changes. We may update these Terms. We will post the new version with a new date and, for material changes, tell you in the app or by email at least 30 days before they take effect. If you keep using the Service after that, the new Terms apply; if you do not agree, close your account.
- Assignment. You may not transfer these Terms without our consent. We may transfer them in a merger, acquisition or sale of our business.
- Force majeure. Neither party is liable for delays caused by events beyond its reasonable control.
- Notices. We may send notices in the app or to your account email. Send notices to us at [Legal email] or [Company legal name], [Company address].
- Entire agreement. These Terms, with the documents they refer to, are the whole agreement about the Service. If a provision is unenforceable, the rest remains in effect. Not enforcing a provision is not a waiver.
- Export. You will comply with the export control and sanctions laws that apply to your use of the Service.
